5 Tools to Streamline Online Business and Eliminate Overwhelm
I’m sitting in the library writing this blog post to you…since I have been procrastinating working on my blog. It’s so easy to get caught up in the day-to-day of business, kids, and life. But I truly love blogging and getting into my writing groove! So today’s blog post topic is, “5 Tools to Streamline Online Business and Eliminate Overwhelm”.
I have been working on streamlining my processes and workflow so I can up level and grow my business. It’s exciting, exhilarating and SUPER scary. I know that I have been holding back from taking my online biz to the next level. After the reality check…I felt grateful for identifying the problem and getting to work to fix my web design business – pronto!
Uplevel with Systems & Processes
If you’re working on growing your business and blog, at some point you will get stuck. And sometimes it’s because you’re hustling day-to-day. BUSY. BUSY. BUSY. And then when you take on another big project or decide to create something new such as a course or e-book…you hit a BRICK WALL. That’s exactly what happened to me. I couldn’t move my business forward until I implemented some new systems and processes to ALLOW me to breathe. Make sense? And I hope if you’re feeling this way…just know you’re not alone and you can fix it!

These are the GO-TO TOOLS I use to run my web design, marketing and consulting business, including:
- Asana – track everything with this project management tool
- 17hats – manage clients and contracts all-in-one business tool
- Streak CRM – follow-up with new business leads in Gmail with this CRM tool
- Zoom – easily host online meetings and webinars
- Acuity Scheduling – schedule meetings and chats automatically
Asana is a game changer for my business. Asana is my all-in-one project management tool that runs my business every single day. It keeps track of all of my client projects, an editorial calendar for my blog, day-to-day billing list, and much, much more! Since I’m creative, it’s not the easiest tool to get used to but I’m so glad I did! When my business slowed down in July, I took the time to learn Asana and hired a Productivity Coach, Kerryn Hewson, to help set-up some of the boards and workflows. It’s been life-changing for my business and my productivity. I love using the checklists to check off my daily tasks and keep track of projects.

Are you a service-based business that works with clients one-on-one? 17hats is an all-in-one system to manage your clients from lead to contract to invoice to survey to DONE. Okay, let me explain how I use the tool.
Once the client submits the form, you get notified via email/text…and the new lead is automatically tracked in 17hats. You can quote the new client project in 17hats and once the client accepts the proposal…the quote can easily turn into an invoice (just go to the quote and choose the drop-down edit > create invoice). After the project is finished, I send a follow-up survey to my customer and keep track of future projects and client contact information in 17hats.
So overall it saves you time…which is amazing!
Full disclosure: I don’t use all of the features in 17hats including the Bookkeeping since my accountant requires me to use Quickbooks. But if you’re a business of 1….or have a small team that works directly with clients/customers…this tool can save you time!
And I can’t forget about the templates. I added all of my contract templates, email templates, proposal templates, etc into 17hats so I’m not recreating every time. It saves soooooo much time!

3. Streak CRM
I don’t think that many folks know about Streak CRM for Gmail but it’s a GEM. It’s an add-on extension for Gmail that works best with Chrome or Safari. I started using Streak since I wanted to improve my follow-up on sales leads. You need to add the extension/app to your Gmail…and then you can customize your Sales Pipelines. So if someone new contacts you…you can track the follow-up process inside of Streak and Gmail. I know sometimes I forget to follow-up with new leads and I want to get better at this process. So I’m trying out Streak CRM for Gmail.

4. Zoom (online meeting)
I love online meetings! It’s so easy to jump on a chat with a client or biz bestie…while wearing your PJ’s! Zoom is an alternate solution to Skype. It’s more professional and has more upgrade features, for example – you could teach a small mastermind group, provide group coaching, meet individually with clients or even host a webinar. Prices vary but they do have a free option and it’s easy to upgrade/downgrade as needed. I’m currently on the FREE plan.

- I wanted more control over my calendar (and more booking features)
- I was able to accept payment after a client booked time on my calendar with Acuity
If you setup Stripe or PayPal for your business, you can integrate these payment methods with Acuity and accept credit card payments when someone books a service via your Acuity calendar. It’s awesome and automatic!

I have other consulting/coaching services I offer…and I’m able to add a credit card payment checkout with Acuity. I love it!
